Whoa Canada! Non-Profit Booth Application Form

Non-Profit Organizations who wish to be considered to take part in the July 1, 2017 Canada Day celebrations produced by the City’s Events Division, MONCTON LIVE EN DIRECT, in downtown Moncton, must submit this filled out form no later than Friday, March 24, 2017.

The City of Moncton’s annual Whoa Canada! celebrations are the region’s largest and 2017 will be no exception. In celebration of Canada’s 150th anniversary, the annual celebrations will be bigger and better than ever before!

Event: Canada Day Celebrations 2017

Date: Saturday, July 1, 2017

Program:
11 am – 5 pm Children's Entertainment on Stage
11 pm – 8 pm Canada Day Bouncy Games
11 am – 10 pm Canada Day Vendors & Booths
5 pm – 9:45 pm: Canada 150 Concert
10 pm – 10:15 pm Canada 150 Fireworks

Location: Riverfront Trail 

ORGANIZATION OBLIGATIONS AND RESPONSIBILITIES

Fees:

- $125 for a 10-ft x 10-ft space for one installation
- $175 for a 10-ft x 20-ft space for one installation

In order to qualify for the “Non-Profit Organization booth rate”, the Applicant will be required to provide proof (satisfactory to the City, in its sole discretion) of the Applicant’s status as a Non-Profit Organization.

*Please note:
- If an organization has more than one installation or booth, fees will be charged for each installation.
- An invoice will be issued by the City of Moncton’s Finance Department following the event to collect fees from organizations.
- Failure to pay vendor fees will automatically disqualify organizations from any future City of Moncton events.

Schedule:

Hours: Organizations are expected to operate their booth from 11 am to 10 pm on July 1, 2017.

Set-up time: Organizations will be assigned a time between 7 am and 9 am and must be set up by 10 am.

Start time: Organizations must be ready by 11 am.

Tear-down time: 
- Organizations may begin tear-down at 10:30 pm.
- No vehicles are permitted to circulate on the event site before crowds have dispersed after the fireworks (around 10:30 pm).
- All organizations must be off site no later than 11:30 pm to allow the City of Moncton to re- open the street and proceed with clean-up of the event site.

Set-up Equipment: 
Tents, tables, chairs, etc. will not be provided to organizations by the City of Moncton.

Security:  
All organizations are responsible for securing their own space at all times.

To ensure that a variety of activities are available for everyone to enjoy, the City requests that all organizations applying to take part in the festivities incorporate an interactive component to their booth that will enhance the experience for event-goers. Examples include, but are not limited to, games, activities, giveaways (e.g. balloons, stickers, etc.), face painting, balloon twisting, etc.

ELECTRICAL:
Non-Profit Organizations are asked to be self-sufficient; however, if an organization is unable to source its own electrical, a City-supplied power source may be available at an additional cost of $75, based on availability of resources.
